Project Manager

Job Summary

The Project Manager is responsible for planning, executing, and closing furniture projects on time and on budget, including reconfigurations and relocations. Acts as the main point of contact for internal and external customers and stakeholders from order entry through punch resolution. Provides proactive communication and status updates to clients and project team. Sets quality standards and expectations for the field crew and monitors successful delivery and installation. Documents and updates all Project Management processes. Performs on-going Project Management process reviews and recommends continuous improvements. Serves as the Subject Matter Expert for the Project Management Team and conducts on-going training sessions and continuous improvement events. Delivers best-in-class customer experience.

Essential Duties and Responsibilities

  • Participates in project kick-off meeting.

    • Confirm project folder is created.

    • Understands project stakeholders and develops communication plans.

    • Review scope of work documents.

    • Develops phasing, sequencing, and tagging plans.

      • Creates budgets for PM time and labor.

    • Determine schedule, deliverables, milestones.

    • Review risks and constraints.

    • Complete site visit and logistical review (confirm job site address).

  • Reviews and validates final labor quote and schedule.

  • Reviews and confirms site conditions (in collaboration with Design).

    • Critical dimensions.

    • Hold to dimensions.

    • Core drill locations.

  • Runs delivery planning report and provides delivery dates.

    • Finalizes phasing, sequencing, and tagging plan.

    • Determines if shipments can go direct to site.

    • Confirms ship to address.

  • Participates in spec checks and audits specifications.

  • Participates in pre-order checklist meetings.

  • Attends weekly project / construction meetings.

  • Creates detailed delivery and installation schedule and shares with project stakeholders.

  • Monitors lead times and delivery dates.

  • Coordinates direct shipments with manufacturer’s traffic department.

  • Communicates lead time issues with client and proposes revised schedules, if necessary.

  • Schedules pre-receiving meeting with warehouse, if necessary.

  • Coordinates pre-installation details:

    • Security

    • Safety / PPE requirements

    • Dock

    • Elevator

    • Staging Area

    • COI

    • Electrician / Low Voltage Provider

    • Special tools and equipment

  • Schedules project, including all resources, trucks, equipment, and special tools.

  • Creates installation packets:

    • Drawings

    • Delivery & pull tickets

    • Installation worksheet

    • Site contact information

    • Project sign-off contact information

    • Logistical information

    • Assembly instructions

  • Schedules pre-installation meetings and walk-throughs, incl. site kick-off meetings.

  • Confirms job site readiness.

  • Sets expectations and goals for warehouse and field teams.

  • Conducts ongoing site visits.

  • Monitors and controls progress of delivery and installation.

  • Provides project status / progress updates (internal & external).

  • Documents, communicates, and resolves issues:

    • Site conditions

    • Application and specification

    • Damages

    • Shortages

    • Punch items

  • Documents and processes change orders.

  • Schedules and conducts punch walk-throughs.

  • Obtains project sign-off and acceptance.

  • Documents and distributes final punch list.

  • Communicates punch list lead times and schedule to client.

  • Submits delivery tickets to Finance to generate customer invoices.

  • Processes subcontractor invoices and reviews final installation hours and profitability.

  • Conduct lessons learned meetings and document corrective actions.

    • Celebrate and leverage success.

    • Drive corrective action and continuous improvement.

  • Schedules punch list delivery and installations

  • Closes out projects.

    • Punch items

    • Open issues

    • All order lines

    • Project folder

  • Contact client 30 days after project completion

    • Product/warranty issues

    • Installation issues

    • Day 2 service needs

  • Tracks and enters Project Management time into Matrix for Time (MxT) for costing and invoicing time.

  • Maintains good relationships with internal and external clients.

  • Documents processes and conducts training sessions.

  • Perform other duties as assigned. 

Minimum Qualifications

  • Bachelor’s degree in Business, Management, or related field, or equivalent work experience. 

  • Three to five years experience as a Project Manager or similar position. 

  • Ability to understand and interpret installation and architectural drawings. 

  • Organizational skills to schedule and manage multiple projects simultaneously and handle a high volume of detailed transactions with speed and accuracy. 

  • Perform duties with a positive attitude, especially during problem resolution or difficult situations. 

  • Interpersonal, leadership and communication skills to interact effectively with a wide range of individuals within and outside the organization. 

  • Product knowledge, especially Steelcase. 

  • Demonstrated ability to work effectively under pressure. 

  • Availability to work odd and extended hours, if necessary. 

  • Demonstrated commitment to professionalism, integrity, and sound judgment in business dealings. 

  • Willingness to provide the highest level of customer service and satisfaction. 

  • Working knowledge of Microsoft Office. 

  • Current Minnesota driver’s license. 

Preferred Qualifications

  • Experience in project management in office furniture or a related field.

Working Conditions

This is an office-based position with frequent out-of-office visits to job sites. Job sites may include operational offices, healthcare facilities with controlled indoor conditions, or active construction sites. Regular, local travel required with occasional travel outside the Minneapolis/St. Paul metro area.
